Human Resources Administrative Assistant                     

          

Summary:  Responsible for providing administrative support to human resources function as needed (e.g., correspondence generation, record keeping, file maintenance, etc.).   Ensure plans are administered in accordance with federal and state regulations and plan provisions are followed.  Serve as first line contact for HR inquiries (hiring, changes, terminations, benefits, etc.)

Essential Functions:
  • Assist department in carrying out various Human Resources programs and procedures for all company employees. 
  • Help with benefits administration to include enrollment, changes, approving invoices, communicating benefits information to employees and resolving individual/group benefits issues.  Enroll individuals with coverage and communicate required benefit deduction information to payroll.
  • Assist with staffing function for exempt and non-exempt staff personnel, to include: recruiting, credentialing, compensation analysis, internal approval process, formal offer and distribution of new hire packets; conduct new hire orientation.
  • Direct and maintain internal Applicant Tracking System (TMS) within WISG to include recruiting and posting staff positions.
  • Oversee the analysis, maintenance and communication of staff records required by law or local governing bodies, or other departments within the company, to include but not limited to: personnel files, HIPAA files, and I-9 documents.   Act as WISG Compliance Lead regarding such records.   Consult with Legal and other appropriate departments to ensure polices comply with federal and state law.
  • Support HR Dept. with annual HR programs, to include, but not limited to: Open Enrollment and Annual Performance Review for employees.
  • Manage special HR Corporate initiatives as identified, such as Job Descriptions, Career Pathing, Compliance, etc.
  • Plan, organize and participate in employee, staff meetings and company gatherings.
  • Assist in exit interview process.
  • Assist in organizational training and development efforts.
  • Maintain Human Resources Information System records and compile reports from database as needed.
  • Maintain company organization charts and employee directory and HR Portal information
  • Enter new hires with benefits into PETNA including benefit deductions.
  • Perform other related duties as required and assigned.

Technical Skills:
  • Understand HR policies and procedures
  • Knowledge of state and federal laws as they relate to HR
  • Proficient knowledge in Internet research/navigation, MS Excel, MS Word, MS Outlook and database applications

  • Demonstrate a motivation to provide fast, accurate and complete customer service at all times to all employees and management
  • Ability to maintain confidentiality and handle sensitive material
  • Ability to apply organizational skills when given a project; ability to handle multiple projects simultaneously to meet deadlines
  • Use resources effectively to generate solutions; take initiative when resolving problems

Education:   Associate’ s degree required; equivalent experience considered at the discretion of management

Experience:  Three to five years prior HR experience required
